Shift handover process | BackgroundThe application manages the process of transferring responsibilities and tasks from one individual to another. It is one of the best-known types of safety—critical communication in oil and gas, and it is a procedure used to reduce the risk of safety incidents.

“It is the process of transferring responsibility and authority for a shift from one worker to another. It is common in manufacturing plants and other operations where workers work on an assigned shift.”

“Shift handover should be regarded as a high-risk process because it cannot be automated and relies on human behavior. The goal of the handover process is to maintain continuity…”

Project Type

The project involved both enterprise-level UX design and the development of a web application. Power Apps Canvas was the platform of choice.

Project Overview

The application manages the transfer of responsibilities and tasks from one individual to another.

Methodology

  • Discovery: Defined the problem, conducted stakeholder and SME interviews, and analyzed user artifacts.

  • Ideate/Design: Analyze all the information collected to establish hierarchy and navigation and develop a site map and the first series of wireframes.

  • Evaluation: Implemented iterative design based on findings from Participatory Design sessions with SMEs and stakeholders’ feedback. Created interactive high-fidelity prototypes and performed Usability Testing.

  • Implementation: Created a final report for the stakeholders. Crafted an Excel file specs document and style guide for developers. Brainstorm sessions with the developers and the software architects. Before deployment perform UT a second time.

Business Goals

  • Digitalize the shift handover process

  • Design a product that can be implemented globally

  • Design it to be built on Power Apps Canvas

  • Reduce risk and minimize errors

  • Process standardization

User Goals

  • A design that mimics the old process and artifacts

  • Capability to transfer data between forms

  • PI data automation

  • Reduce risk and minimize errors

Pain Points

  • The process lacks accountability and is susceptible to errors.

  • The existing solution relied on isolated silos determined by asset discretion rather than aligning with business requirements.

  • Absence of consistency and standardization.

  • Challenges Hindering User Adoption.

Key Solutions

  • Minimize risk by reducing errors while performing the process.

  • Flexible IA solution that allows space for scalability and fast adoption by other locations with minimum changes.

  • Process standardization through the adoption of business standards and requirements.

  • Improve user acceptance by mimicking the process and artifacts used by the operator at the time.

Metrics

Reduced Error Rate: Implementation of the new system resulted in a significant reduction in errors during the shift handover process, enhancing operational safety

Consistency and Standardization: The new process introduced consistency and standardization, eliminating previous discrepancies and ensuring uniformity in operations.

Cost and Time Savings: The optimized user flow and improved processes resulted in significant time and cost savings for the organization.

Enhanced Accountability: The new system introduced greater accountability into the shift handover process, reducing the likelihood of oversight or mistakes.

Increased Data Integrity: The capability to transfer data between forms improved data integrity, ensuring accurate information exchange during handovers.

Compliance and Risk Mitigation: The digitized process contributed to improved compliance with safety standards, reducing risks associated with manual handover procedures.

Deliverables

  • Insight/recommendation summary

  • Specification documentation

  • Produce wireframes

  • Generate diagrams (flowcharts, user flow, and sitemap)

  • Style guide

  • Prototypes

  • Set up backlogs for design implementation
